31 July 2004 Board Minutes – Elk Creek Inn Restaurant

Call Meeting to Order Russ
Board Resignation - Curt Tucker has resigned from the POA Board due to the expected sale of his house. The
resignation was accepted with several comments about the
high quality of Curt’s board membership and his ability
to help the board maintain focus on issues.
Beyond the Gate -- Phil Rash and Phil Whitson
Phil W. reported that real estate sales are going well,
rentals appear up from a few months ago, and that there
will be a reinvigoration of the Elk Creek Inn with an
improved menu and other incremental improvements, which
should be in place for the Endurance Ride. Abbie is
heading up these improvements with professional guidance
from Trevor Whitson
Contracts and Agreements – Russ
Summer Mowing – For the approximately 200+ people who
joined the POA for its Independence Day celebration,
they know how good Leatherwood looked, just like a
National Park. Thank you to ALL who worked so hard on
the POA’s behalf.
Security and Gate – Russ
John will investigate the possibility of a radio
repeater tower or other communication system that may
assist those on the various trails if there is a need.
Chuck and Diane will take with Phil & Phil regarding the
status of the security officer, gates the matching funds
application. There was a unanimous vote for asking the
Wilkes County Sheriff to join the General POA Meeting in
February. .
Entertainment Committee – Diane
Diane reported that the Independence Day activities were
superb. There were more people there than she remembered
at any other festivity. The kids’ games had good
participation and we had to ask Abbie to help supply
utensils since we ran out of our 200 forks, etc.
Upcoming events: 21 August “Guided Trail Ride” Around
the Mountain, going from the stable areas to Abbie and
Hugh’s Split Rock Farm for lunch and back. About 2 hours
one way.
4 September Endurance Ride, 25, 50, and 75 miles.
5 September POA “Chuck Wagon Dinner”
18 September “Fun Day” including a fun horse show, dog
show, etc.
2 October Brushy Mountain Apple Festival – N. Wilkesboro
23 October “Guided Trail Ride”
Tennis courts, playground, and pool: John reports that
the tennis court lighting project continues to move
forward. The pool has had its last summer inspection.
Baring anything unforeseen, the repairs we made earlier
this summer are doing fine and we expect a normal
closure after Labor Day weekend.
Roads – Delaine, Jim, Chuck, Russ
Jim, Delaine, Chuck, Russ reported that several paving
contractors have been contacted in an effort to have
some competitive bids and to establish road improvement
standards. This has not been successful. The road
committee will contact Huffman Paving and try to get the
road repairs moving forward again.
The board has been provided a proposal for a
comprehensive road inventory assessment and repair
schedule. (Thanks Jim) This proposal will be presented
to the General Membership in February.
David is going to inventory the road signage to
determine which signs need replacing, where we need
additional signs, and where we need road edge
reflectors.
New Constructions – Russ
The ARC has provided one new name for 2004 construction.
